Activation Best Practices #
Guidelines for effective activation management.
1. Regular Stale Cleanup (Monthly) #
Process:
- First week: Review stale activations
- Filter: Stale 60+ days
- Bulk deactivate obvious ones (dev/staging)
- Email customers about remaining
- Week 2: Deactivate confirmed ones
Goal: Keep stale rate under 10%.
2. Monitor Activation Limits #
Process:
- Check “Licenses Near Limit” regularly
- Proactively reach out to customers at limit
- Offer upgrade or help with cleanup
Benefits:
- Upsell opportunity
- Better customer service
- Fewer support tickets
3. Educate Customers on Deactivation #
How:
- Include deactivation instructions in welcome email
- Remind in renewal emails
- Prominent deactivate button in portal
- Documentation on moving licenses
Result: Customers self-manage, fewer support tickets.
4. Track Version Adoption #
Process:
- Monthly: Check version distribution
- Identify customers 2+ versions behind
- Email update encouragement
- Track response
Goal: 80%+ on latest/previous version within 90 days.
5. Investigate Unusual Patterns #
Red flags:
- Customer with 50 activations on 5-site license
- All activations for product show stale
- Sites never check in
- Many activations from same IP, different customers
Action: Investigate each, fix bugs, contact customers.
