Editing Customer Information #
Edit customer records to update information, fix errors, or add details.
How to Access Edit Mode #
From Customer list:
- Find customer (search or browse)
- Click Edit in row actions
OR:
- From overview page, click [Edit Customer] button
What Can Be Changed #
Email #
- Can be changed to new email address
- Must be unique (not already in system)
- Affects: Portal login, license delivery, all communications
First Name / Last Name #
- Can be updated freely
- Affects: Email personalization, display name
Company #
- Can be added, changed, or removed
- Affects: Invoice addressing, B2B identification
WordPress User Link #
- Can be linked to different user
- Can be unlinked (set to none)
- Affects: Portal access
Internal Notes #
- Add private notes about customer
- Not visible to customer
- Useful for support history, special arrangements
What Cannot Be Changed #
These are calculated or historical:
- Total Spent – Calculated from orders (edit orders to change)
- License Count – Add/remove licenses separately
- Created Date – Historical record
- Download Count – Tracked automatically
Editing Best Practices #
Always Verify Identity #
Before making changes, verify customer:
- Request from registered email
- Reference order number
- Ask security question
Document Changes #
Add internal note for significant changes:
- “Email changed from old@example.com per customer request – Nov 15, 2025″
- “Company name updated from ‘ACME’ to ‘ACME Corp’ – merger”
Check Related Records #
Before changing email:
- Check activations (will they be affected?)
- Check subscriptions (renewals go to new email)
- Check support contracts (support access continues)
Save Changes #
Click [Update Customer] button.
Success Message: “Customer updated successfully!”
