Understanding Customer Records #
Before creating or editing customers, let’s understand what information is stored.
Core Customer Fields #
Email (Required) #
The customer’s email address. Must be unique in your system.
Used for:
- Login to customer portal
- License key delivery
- Renewal reminders
- Support communication
Validation:
- Must be valid email format
- System prevents duplicate emails
First Name (Optional) #
Customer’s first name. Recommended for personalization in emails.
Last Name (Optional) #
Customer’s last name. Recommended for professional communication.
Company (Optional) #
Business name if customer is a company.
Useful for:
- B2B customers
- Agencies
- Enterprise clients
- Invoice addressing
WordPress User Link (Optional) #
Links customer record to a WordPress user account.
When linked, customer can:
- Log in to your site
- Access customer portal
- Manage their own licenses
- Download purchased products
Leave blank if:
- Customer doesn’t need site access
- Guest checkout customer
- Migrated customer without account
Automatically Tracked Fields #
These fields are managed by the system:
- Created Date – When customer record was first created
- Total Spent – Calculated from all orders and subscriptions
- License Count – Number of licenses owned
- Download Count – Number of files downloaded
