License Management Best Practices #
Guidelines for managing licenses professionally and efficiently.
License Creation Best Practices #
1. Use Auto-Generate for Keys #
Always click [Generate Key] button.
Benefits:
- Guaranteed unique
- Proper format (DMSI-XXXX-XXXX-XXXX-XXXX)
- Tracked correctly in system
- Secure random generation
- Avoids typos and duplicates
2. Manual Keys Only When Necessary #
Only enter manual keys for:
- Migration from old licensing system
- Customer has existing key from previous platform
- Specific business requirement
Always verify format and uniqueness manually.
3. Use License Types for Consistent Settings #
Configure your licensing tiers under Settings > License Types and assign the appropriate type to each product or variation. This is the recommended approach in v1.2.0 and later.
Benefits of using License Types:
- Activation limits, duration, and permissions are defined once and applied consistently
- Changing a License Type updates the defaults for new licenses without requiring edits to every product
- Lifetime behavior (
is_lifetime) is controlled centrally — no need to remember to leave the expiration date blank for each manual license creation - API responses and reports include the License Type slug, making reporting and filtering more meaningful
When to override at the product level:
If most of your products share a standard type but one product needs different activation limits, use the product-level override rather than creating a separate License Type.
4. Set Appropriate Activation Limits #
- 1 site: Individual users, bloggers, strict control
- 5 sites: Small agencies, freelancers (most popular)
- 10 sites: Growing agencies
- 25 sites: Large agencies, resellers
- Unlimited (0): Enterprise clients only – monitor for abuse
5. Set Realistic Expiration Dates #
- Annual: Today + 365 days
- Monthly: Today + 30 days
- Quarterly: Today + 90 days
- Trial: Today + 14 days
- Lifetime: Use a License Type with
is_lifetime = truerather than leaving dates blank manually
License Editing Best Practices #
1. Always Verify Ownership Before Transfers #
Never transfer without explicit written confirmation.
Get:
- Email from customer’s registered address
- Order number reference
- Specific authorization
2. Add Internal Notes for Significant Changes #
Examples:
- “Extended 30 days due to server downtime Dec 1-15, 2025”
- “Increased to 10 sites per customer request – Order #5432”
- “Suspended – chargeback filed Dec 1 – awaiting resolution”
- “Transferred from john@old.com to john@new.com”
- “Created for WPBeginner review – Dec 2025”
3. Be Cautious with Activation Limit Reductions #
Before reducing limit:
4. Document Everything #
Keep logs of:
- Bulk actions performed
- Unusual manual changes
- Gift licenses issued
- Transfers completed
- Suspensions/cancellations
Customer Service Best Practices #
1. Respond Quickly to License Issues #
Target Response Times:
- Lost keys: 1-2 hours
- Activation issues: 2-4 hours
- Extension requests: 4-8 hours
- Complex issues: 24 hours
2. Be Generous with Extensions #
7-30 Days: Almost always say yes
30-90 Days: Consider customer history
90+ Days: Might indicate deeper issue
Happy customers are loyal customers.
3. Suspend Before Cancelling #
Use Suspended for:
- Payment investigations
- Suspected (not confirmed) fraud
- Terms violations (first offense)
- Temporary issues
Only Cancel for confirmed permanent situations.
4. Keep Customers Informed #
When suspending/cancelling:
- Explain why
- What they need to do
- How long it will take
Example:
“License suspended due to unpaid renewal. Please pay your renewal order at [link]. We’ll reactivate within 24 hours of receiving payment.”
Security Best Practices #
1. Verify Identity for Sensitive Changes #
Always verify before:
- Transferring ownership
- Providing license keys to new email
- Making significant changes
Verification methods:
- Email from registered address
- Order number confirmation
- Two-factor authentication (if available)
2. Monitor for Abuse #
Red flags:
- Unlimited licenses with excessive activations
- Multiple purchases from same IP
- Activation patterns (many sites, same owner)
- Chargebacks
3. Document Fraud Cases #
Keep detailed records:
- Date detected
- Evidence collected
- Action taken
- Resolution
Helps identify patterns and protect against repeat offenders.
Maintenance Best Practices #
1. Regular Cleanup #
Weekly:
- Review expired licenses
- Check suspended licenses
- Process pending actions
Monthly:
- Delete old test licenses
- Review inactive licenses (0 activations)
- Analyze license usage patterns
Quarterly:
- Export license data for backup
- Review and update internal procedures
- Audit gift/comp licenses
- Review License Type configuration — are all active types still needed?
2. Use Filters Effectively #
Create standard filter combinations for:
- Daily support tasks
- Weekly renewal campaigns
- Monthly reports
- Fraud monitoring
Save time with consistent workflows.
3. Export Data Regularly #
Before bulk deletions or major changes:
- Export to CSV
- Keep backup
- Document changes made
Communication Best Practices #
1. Template Common Responses #
Create templates for:
- Lost license keys
- Extension confirmations
- Activation limit increases
- Suspension notifications
- Cancellation confirmations
Saves time while maintaining professionalism.
2. Set Clear Expectations #
Tell customers:
- What you’re doing
- How long it will take
- What they need to do
3. Follow Up #
After resolving issues:
- Confirm everything works
- Ask if they need anything else
- Thank them for their patience
