License Status Guide #
Understanding the license statuses helps you make the right decisions.
Active Status (Green Badge) #
What It Means:
License is fully functional. Customer can use all features.
Customer Can:
- Activate on new sites (up to limit)
- Download software and updates
- Access customer portal
- Renew subscription (if applicable)
- Use existing activations
When to Use:
- Normal, paid licenses
- After successful purchase
- After resolving payment issues
- After lifting suspension
- Gift licenses ready to use
How License Becomes Active:
- Automatically: When customer completes purchase
- Manually: You create it as Active or change status to Active
Expired Status (Gray Badge) #
What It Means:
License passed its expiration date. System automatically sets this status.
Automatic Status Change:
Background job runs hourly. When current date > expiration date, status changes from Active to Expired.
Note on Lifetime Licenses: Licenses created from a License Type with is_lifetime = true have no expiration date and are never set to Expired by the background job. They remain Active indefinitely.
Grace Period (7 days default):
Customer Can:
- Renew subscription
- Use existing activations
- Cannot activate new sites
- Cannot download updates (after grace ends)
After Grace Period:
- Existing activations stop working
- Downloads disabled
- Portal shows “Expired” warning
- Renewals still accepted
What to Do:
Usually nothing – let customer renew. If customer contacts:
- Offer renewal link
- Offer grace extension (goodwill)
- Offer renewal discount
Manual Extension:
You can extend expiration date. When saved, status automatically changes back to Active.
Suspended Status (Yellow Badge) #
What It Means:
License temporarily disabled by admin action.
When to Suspend:
- Subscription renewal unpaid
- Chargeback filed (pending resolution)
- Suspected fraud (investigating)
- Terms violation (warning period)
- Customer requested pause
- License sharing detected
Customer Can:
- Cannot activate new sites (immediately blocked)
- Cannot download updates (immediately blocked)
- Cannot renew subscription (blocked)
- View license in portal (shows “Suspended”)
- Use existing activations (for 24-48 hours)
Existing Activations:
- Continue working 24-48 hours
- Next license check: Activation fails
- Error: “License suspended. Contact support.”
How to Lift:
Communication:
Always explain why suspended and what’s needed for reactivation.
Cancelled Status (Red Badge) #
What It Means:
License permanently disabled. Final status – cannot be reversed.
When to Cancel:
- Chargeback resolved against you
- Severe terms violation
- Fraud confirmed
- Customer requested refund + cancellation
- Account closure requested
Customer Can:
- Cannot activate any sites
- Cannot download anything
- Cannot renew
- Cannot use existing activations
- View portal (shows “Cancelled”)
This is Permanent:
NO way to reactivate. Only option is creating new license with new key.
Before You Cancel:
- Could this be resolved? Use Suspended instead.
- Is this temporary? Use Suspended instead.
- Is this 100% final? Proceed with Cancel.
Cancellation Warning:
System shows strong warning about permanent action.
