Actions you can perform on subscriptions.
Extending a Subscription #
When to use:
– Goodwill extension for customer
– Compensate for service issues
– Admin-initiated renewal without payment
Steps:
1. Click “Extend Subscription”
2. Subscription extends by 1 billing period
3. Linked license automatically extended
Result: No payment processed, subscription extended as goodwill.
Creating a Renewal Order #
When to use:
– Subscription is due for renewal
– Customer needs to pay for next period
– You want to generate a payment link
Steps:
1. Click “Create Renewal Order”
2. WooCommerce order created (pending payment)
3. Payment URL displayed in success notice
4. Copy URL and send to customer
5. Customer pays via WooCommerce checkout
6. Subscription, license, and support contract auto-extend
Result: Order created with payment URL for customer to pay.
Sending Reminder Email #
When to use:
– Subscription approaching renewal
– Gentle reminder without creating order
Steps:
1. Click “Send Reminder Email”
2. Plain text email sent to customer
3. Email includes product, amount, due date
Cancelling a Subscription #
Two types of cancellation:
| Type | Effect | Use For |
|---|---|---|
| Cancel Immediately | Ends right now, license expires | Refunds, violations |
| Cancel at Period End | Continues until period ends | Normal cancellations |
Steps:
1. Click “Cancel Subscription”
2. Choose: Immediately or At Period End
3. Choose: Refund last payment? (Yes/No)
4. Add cancellation reason
5. Click “Confirm Cancellation”
Reactivating a Cancelled Subscription #
When available:
– Cancelled within grace period (usually 30 days)
– Customer wants to resume
– Payment method still valid
Steps:
1. Click “Reactivate Subscription”
2. Verify payment method is valid
3. Choose next billing date
4. Click “Confirm Reactivation”
