Creating a Scheduled Report #
Prerequisites #
Before creating a scheduled report, you need a saved report in the Report Library. If you have not yet created a report, go to DDLS > Reports > Create New Report first. See Custom Report Builder.
Step 1: Open Scheduled Reports #
Go to DDLS > Scheduled Reports and click Add New Schedule.
Step 2: Choose the Report #
Select the saved report to schedule from the dropdown. All reports in your Report Library are available.
Step 3: Set the Frequency #
| Frequency | When It Runs |
|---|---|
| Daily | Every day at the configured time |
| Weekly | On the chosen day of the week at the configured time |
| Monthly | On the chosen day of the month at the configured time |
Enter the delivery time in 24-hour format (e.g., 08:00 for 8:00 AM in your server’s timezone).
Step 4: Choose Recipients #
Enter one or more email addresses to receive the report. Separate multiple addresses with commas.
Tip: You can use this to deliver reports to stakeholders who do not have WordPress admin access.
Step 5: Choose Format #
| Format | Notes |
|---|---|
| CSV | Simple data file, opens in any spreadsheet app |
| Excel | Formatted .xlsx, best for non-technical recipients |
| JSON | Machine-readable, for technical integrations |
| Print-ready, best for executive summaries |
Step 6: Set Date Range for the Report #
Choose what date range the report covers when it runs:
– Last 7 days
– Last 30 days
– Last calendar month
– Last quarter
– Year to date
This setting determines the data window for each delivery. For example, a monthly report with “Last calendar month” always covers the prior complete month.
Step 7: Save #
Click Create Schedule. The schedule is now active and will run at the next due time.
