Creating an Automation Rule #
Steps #
- Go to Services > Automations.
- Click Add New Rule.
- Complete the automation rule form.
- Click Save Rule.
Step-by-Step Form Walkthrough #
Rule Name and Status #
- Rule Name – A clear, descriptive name (for example, “Monthly Maintenance – Managed Clients” or “Escalate Stale High-Priority Requests”)
- Status – Active or Inactive. Inactive rules are saved but not evaluated by the automation job.
Trigger Configuration #
- Select the Trigger Type: Schedule-Based or Event-Based.
- Select the specific Trigger from the dropdown (options vary by trigger type).
- If the trigger requires a threshold (for example, “unassigned for X hours”), enter the value.
- If the trigger is schedule-based with a recurring interval, select the frequency: Daily, Weekly, or Monthly.
Conditions (Optional) #
Conditions narrow when the rule fires. Without conditions, the rule applies to all matching records.

|---|---|
| Customer | Only fire for requests or contracts belonging to a specific customer |
| Service Type | Only fire for requests of a specific service type |
| Priority | Only fire for requests at or above a specific priority level |
| Contract Type | Only fire for contracts from a specific WooCommerce product |
Multiple conditions can be added. All conditions must be true for the rule to fire (AND logic).
Action Configuration #
- Select the Action Type: Create Request, Send Notification, Update Field, or Add Note.
- Fill in the fields relevant to that action type (see Action Types Explained for details).
Save and Test #
After saving, the rule is evaluated on the next automation job run. To verify the rule is configured correctly, check the Automation Logs after the next job execution.
