Contract Renewal and Rollover Settings #
Contracts can be configured to renew automatically and to carry over unused hours from one period to the next.
Renewal Periods #
The Renewal Period field on a contract determines how frequently the contract resets.

| None | Contract does not auto-renew; expires on the expiration date |
| Monthly | Contract renews each month |
| Quarterly | Contract renews every three months |
| Annually | Contract renews once per year |
Hour Rollover #
The Hour Rollover setting controls what happens to unused hours when a contract renews.
- Disabled – Unused hours are forfeited at renewal; the balance resets to the full allocated amount
- Enabled – Unused hours are added to the new period’s allocation
For example: A contract with 20 hours allocated, where 12 hours were used, rolls over 8 hours. The new period would start with 28 available hours.
Expiration Notifications #
When a contract is within the expiration warning window, its status changes to Expiring and the system sends a contract-expiring notification to the customer (if enabled in Settings > Notifications). Administrators also see the contract flagged in the Dashboard Alerts widget.
Renewing a Contract Manually #
To manually renew or extend a contract:
- Open the contract from Services > Contracts.
- Update the Expiration Date field.
- Adjust Hours Allocated if the new period includes different terms.
- Click Save Contract.
