Contract Status Guide #
Each contract carries a status that reflects its current lifecycle state. Status affects whether time can be logged against requests linked to that contract.
Status Definitions #
| Status | Description | Time Logging Allowed |
|---|---|---|
| Active | Contract is in effect and hours are available | Yes |
| Expiring | Contract is active but approaching its expiration date | Yes |
| Expired | The contract’s expiration date has passed | No |
| Cancelled | The contract was manually cancelled before expiration | No |
| Suspended | The contract has been temporarily placed on hold | No |
When Status Changes Automatically #
- A contract transitions from Active to Expiring when it enters the expiration warning window. The width of this window is determined by the expiration reminder days configured in Settings > Alerts.
- A contract transitions from Expiring to Expired on or after its expiration date, as processed by a background job that runs daily.
Changing Status Manually #
Administrators can change a contract’s status manually from the contract detail page. Common use cases:
- Setting a contract to Suspended when a payment dispute is in progress
- Setting a contract to Cancelled when a customer terminates service early
- Returning a Suspended contract to Active after a dispute is resolved
Impact on Service Requests #
When a contract is in Expired, Cancelled, or Suspended status, staff cannot log billable time against requests linked to that contract. Attempting to do so will display a validation error. Requests themselves can still be viewed and updated regardless of contract status.
