Follow these steps to get Team Management running for both use cases.
Quick Start: Admin Staff Team #
Step 1: Review Built-in Roles #
Go to DMSI DDLS > Team > Roles. You will see four built-in roles:
- Admin – Full access to all 13 DDLS capabilities
- Manager – Manage customers, licenses, products; no delete access
- Support – View customers and licenses; manage customer records
- View-Only – Read-only access to customers, licenses, products, and analytics
If these roles fit your needs, you can skip to Step 3. If not, create a custom role.
Step 2: Create Custom Roles (optional) #
- (‘ol’, ‘Click Add New Role.’)
- (‘ol’, ‘Enter a role name (e.g., “Billing Specialist”).’)
- (‘ol’, ‘Check the permissions this role should have.’)
- (‘ol’, ‘Click Save Role.’)
See Creating a Custom Role for full details.
Step 3: Add Your First Staff Member #
- (‘ol’, ‘Go to DMSI DDLS > Team > Team Members.’)
- (‘ol’, ‘Click Add Team Member.’)
- (‘ol’, ‘Search for an existing WordPress user or enter their username.’)
- (‘ol’, ‘Select their role.’)
- (‘ol’, ‘Click Save.’)
The staff member receives a welcome email and can now log in to access the DDLS admin areas their role permits.
Quick Start: Customer Team Licenses #
Step 1: Create a Team License Product #
- (‘ol’, ‘Go to WooCommerce > Products > Add New.’)
- (‘ol’, ‘Set the product name, description, and price.’)
- (‘ol’, ‘In Product Data, click the Team License tab.’)
- (‘ol’, ‘Check This is a team license product.’)
- (‘ol’, ‘Add at least one seat tier (e.g., 5 seats at $99/month).’)
- (‘ol’, ‘Also configure the Licensing tab as you normally would for a licensed product.’)
- (‘ol’, ‘Publish the product.’)
Step 2: Test a Purchase #
Purchase the product as a test customer. After checkout:
- A license is created automatically (as normal in DDLS).
- The license type is set to “team”.
- The purchaser is automatically added as the Team Admin.
Step 3: Verify the Customer Portal #
Log in as the test customer and navigate to the customer portal. You should see:
- My Team – Shows current team members
- Invite Member – Send email invitations
- Usage Report – View member activity
Your customers can now self-manage their team from these portal pages.
