What is a Multi-Seat License?

A multi-seat license (also called a Team License) is a single license purchase that allows a customer to share access with a defined number of their colleagues.

This feature adds a new product type that your customers purchase. The customer self-manages who is on their team.

The Problem It Solves #

Without team licenses, if a company wants five employees to use your software, they must either:

  • Purchase five separate individual licenses
  • Share one license key (which you cannot track or control)

Neither option is ideal. Multi-seat licenses solve this by letting one person purchase a team license and then invite up to N colleagues to join. You control the seat count; the customer manages their team.

How It Works from the Customer’s Perspective #

  • (‘ol’, ‘Customer purchases a team license product (e.g., “Team Pro – 10 Seats”).’)
  • (‘ol’, ‘Customer is automatically added to their team as the Team Admin.’)
  • (‘ol’, ‘Customer goes to their portal and invites colleagues via email.’)
  • (‘ol’, ‘Colleagues receive an invitation email, click the link, and join the team.’)
  • (‘ol’, ‘All team members can now use the license (up to the seat limit).’)
  • (‘ol’, ‘The Team Admin can remove members, add new ones, or change roles at any time.’)

How It Works from Your (Store Admin) Perspective #

  • (‘ol’, ‘You create a WooCommerce product and configure it as a Team License with seat tiers.’)
  • (‘ol’, ‘When a customer purchases, DDLS automatically creates a license and sets the seat count.’)
  • (‘ol’, ‘The license type is set to “team” in your DDLS license database.’)
  • (‘ol’, ‘You can view team composition from the DDLS Licenses area.’)
  • (‘ol’, ‘The customer self-manages their team; you do not need to manually add or remove their members.’)

Seat Counts and Limits #

The seat count for a team license is set at purchase based on the tier the customer selects. A seat count of 0 means unlimited seats.

Pending invitations count toward the seat total. If a license has 10 seats and 8 invitations are pending (not yet accepted), only 2 more invitations can be sent. This prevents overbooking.
